Zoom: Screen Sharing

Introduction

During a Zoom meeting, hosts, co-hosts, and participants can share their device screens with others in the meeting. Meeting attendees can share their entire desktop, individual applications, and more through this feature. See below for details about sharing your device’s screen.

If you have not yet downloaded the Zoom Desktop application, go to Quinnipiac Zoom web portal (https://quinnipiac.zoom.us) in your web browser, click Download Client at the bottom of the page, and download Zoom Client for Meetings on the subsequent page.

Enable Screen Sharing

The option to share your screen is enabled for all by default, but these steps illustrate how to enable it in the Zoom web portal settings.

Go to the Quinnipiac Zoom web portal (https://quinnipiac.zoom.us) and click Sign in.
You may be directed to the Quinnipiac Single Sign-On (SSO) page where you will need to login with your standard Quinnipiac username and password.
Click Settings in the left-hand navigation bar and select the Meeting tab. Then click on the In Meeting (Basic) sub-menu.
The window will auto-scroll down to the In Meeting (Basic) section of the page. From here, you will need to manually scroll down further to the Screen sharing sub-section. Ensure that the toggle switch is in the ON position. Once screen sharing is enabled, you will see an additional set of options below:
1. How many participants can share their screen at the same time.
2. Who can share their screen during your meetings, either Host Only (yourself), or All Participants.
3. Who can share their screen when someone else is already sharing.

Share Your Screen During a Meeting

Click the green Share button in the meeting toolbar to start the screen sharing process.

Share Your Entire Screen

You can share your entire screen or individual applications. The default option is Entire Screen. If you have a multiple monitor setup, you may see several options titled Screen 1, Screen 2, etc., depending on how many external monitors you have connected. Click the desired screen you wish to share, which will highlight in blue, and then confirm by clicking the Share button.

Share An Application

Another option is to share any open applications that are currently open. These open applications are displayed in the lower half of the sharing selection window. Click on any individual application to highlight it in blue, and then confirm by clicking the Share button. Note that participants will only see the application you shared, even if you are looking at a different application on your own computer.

Share Multiple Applications

You can also share multiple applications at once. When selecting multiple applications, hold the Ctrl key and click on all individual applications you wish to share. If using a Mac, hold the Shift key and click on the applications you wish to share. Each app that will be shared will be highlighted in blue. Confirm by clicking the Share button. Note that participants will not see any applications that were not selected when establishing the sharing, even if you are looking at something else.

Sharing Sound

To share sound from your device, locate the Layouts section at the right of the page. Ensure that the boxes for Share sound and Optimize for video sharing are both checked..

Multiple Participants can share Simultaneously

Hosts can now allow multiple participants to share their screen simultaneously during a meeting. To use this feature, the host must click on the chevron arrow to the right of the Share button and select All Participants for both Who can share? and Who can start sharing when someone else is sharing? radio buttons in the popup window.

Now, any participant (including the host) can click Share to begin sharing. If participants are using dual monitors (and have that option turned on in their settings), they will see the two most recently shared screens on each monitor. If participants are using a single monitor, they will see the most recently shared screen. Participants can select View Options to change to another screen. Participants using the mobile app will see the first shared screen and will be unable to change the screen they are viewing.
