Employee Frequently Asked Questions

1. What are the hour restrictions per day for vacation or sick leave?
- Requests must only be submitted for 3.5 or 7 hours on a business day.
- Requests outside of these hours will be rejected. Employees must edit the request and resubmit. If there are other time frames of leave needed, employees should discuss alternate plans with their manager.
2. What if there is an error upon submitting a request?
- Change Chrome’s browser settings to allow pop-up blockers. A browser refresh or complete log out/log-in to Self-Service Employee Leave will activate the change.

3. Will employees receive an email upon a submitted request?
- No. Request statuses will be automatically updated in an employee’s Leave Request list.
- Employees will receive emails upon approved, rejected, unapproved, withdrawn (approved/rejected) requests. It is important to view comments for rejected requests.

Managers will receive emails upon submitted, unsubmitted, and withdrawn requests.
4. What decision types and emails can an employee expect?
- Approved – (manager comments are optional)
- Rejected – (manager comments are required). After a rejected request, an employee can make changes to the request and resubmit.
- Unapproved (for approved requests only; the request will move to a submitted status for an employee to either unsubmit and edit, or unsubmit and delete.

Withdrawn – (manager comments are optional)
- Approved - employees can edit and resubmit the request.
- Rejected - employees can edit and resubmit the request.
5. If an employee has an extenuating circumstance or change of plans and did not use the full approved leave time, can it be changed?
a. Yes – a request can only be withdrawn during the approved or for a future leave time frame. An employee must communicate the reduced hours (3.5 or 7 on a business day) to the manager both directly and by withdrawing the request.
b. If the leave time has passed, the employee must communicate the reduced hours (3.5 or 7 on a business day) to the manager directly. The manager will submit a change request to the Office of Human Resources and the employee’s leave balance will be credited.
6. Are retroactive requests permitted?
a. Yes. It is strongly recommended that there be clear communication of the reason for this delay and comments included in the late request.
b. Employees should confirm department-specific guidelines for the preferred time frame by which a retroactive request must be submitted. Sample guideline: employees must submit requests within one week of their return to the office.
7. Can a manager submit or edit an employee’s leave request?
- No. It is the employee’s responsibility to submit requests in a timely and accurate way.
